Rules and conditions of entry for prints and projected images

Note: Rules in red have been updated for 2012

1. The competition is divided into 3 classes (Monochrome Prints, Colour Prints and Projected Images) each with 2 categories (Applied and General). There will also be a separate category for the Young Photographer. Category definitions are shown on the separate sheet “Details of Categories and Awards.”

2. There are both Individual Awards and Society Awards. Details are shown in the separate table. Clubs will be automatically entered for society awards, if eligible, as per rule 4.

3. The maximum entry for an individual is 6 Prints in any combination of Monochrome or Colour and 6 Projected Images (slides or digital) which can be entered into any category. Images that are substantially the same should not be entered by the same author as both prints and projected images. It is the responsibility of the club competition secretary to apply this rule.

4. Society competitions are based on the following quota system depending on Society membership as given in the annual Club returns information. Clubs are not required to nominate the images.

Up to 40 members – 3 images in total from 3 different authors required to qualify,
41 to 80 members – 4 images in total from 4 different authors required to qualify,
81+members - 5 images in total from 5 different authors required to qualify.

5. Entrants, who are members of more than one Society, must submit all their prints through one Society; similarly for projected images. However, prints may be through one Society and projected images through another as the entrant chooses.

6. Entrants must own the copyright of the work submitted. Composite images are permitted provided all component images meet this requirement. The use of copyright-free images is not allowed.

7. All entries must have the following information to correspond with the entry form (in case of any discrepancy, the information given on the entry form will prevail): Name of Society, Name of entrant, Title, Category of entry (e.g. Mono Applied.) In the case of prints, OFFICIAL, self-adhesive labels are provided and MUST be used. Club and individual versions of the YPU label are NOT allowed. Labels must be affixed as near as possible to the upper right hand corner of the mount. Additional labels are available from the YPU Secretary. Please refrain from using abbreviated club names as this can lead to confusion.

8. Any entry accepted at any previous YPU Annual Exhibition is ineligible for entry. Images, once accepted, should not be re-entered in any other form, e.g. colour & mono, print or projected image. Like or similar images from the same original capture may not be used. It is the responsibility of the club competition secretary to apply this rule.

9. All entries shall be available for selection to represent the YPU in the PAGB Competition, and accepted entries shall be available for selection for the YPU circulating folio (for the use of affiliated societies during the following year.) The author of images entered for consideration in the YPU Annual Exhibition agrees that those images can be used to represent the YPU at the PAGB Annual Exhibition and Competition and the author will not allow any of their images (i.e. prints or projected images) to represent any other Federation in that calendar year as per PAGB Rule 4. Any print selected to represent the YPU in the PAGB Inter-Federation Print Competition will require an electronic version of the image to current PAGB requirements sending to the Exhibition Coordinator at a future date.

10. The Exhibition organisers will take every reasonable care of entries but neither they nor the YPU can be held responsible for any loss or damage that may occur.

11. Entry fees are as stated on the electronic entry summary sheet.

12. Societies must ensure that all subscriptions due to the YPU have been paid before the closing date, otherwise entries cannot be accepted. The name and address of the YPU Treasurer can be found in the current YPU Directory or Photographic Alliance Handbook.

13. All entry sheets and entries must be received by the closing date (the YPU AGM unless otherwise stated) and by the appropriate person(s) as follows:-

Print boxes should be left at the AGM where directed (or earlier with the Print Secretary by prior arrangement.) The names of all the entrants should be written on the front of the club envelope as this information is used to distribute the exhibition catalogues. This envelope will have been sent to the Club Secretary.

14. The submitting Society’s name should be shown on the outside of the package of both prints and projected images for easy identification during handling. Ideally, on print boxes, the club name should be written on the lid the correct way up on one end and upside down o the other end as this aids both finding the box in a stack and also at the unpacking and judging days. Masking tape can easily be written on and may be removed later.

15. Any dispute over the interpretation of these rules shall be resolved at the discretion of the appropriate Competition Secretary. Failure to comply with these rules may lead to exclusion for either the individual or the Club.

16. Only electronic information entry via CD or email is allowed – see the Downloads page on the YPU website (www.ypu.org.uk/downloads.htm)for the entry spreadsheet file. When preparing entry forms each Category must be entered on the appropriate sheet (Colour Print Applied, etc.) Any club having a problem, contact the relevant Secretary. Please ensure that the person given as a named contact is available for two weeks after the AGM in case of issues with the entry. See the guidelines on the spreadsheet ‘summary sheet’ for more information.

Prints

17. Prints may be home or trade processed. Prints must be mounted but not framed. Mounts can be any form or colour and must be the standard size of 400 x 500mm ± 2mm along either length and not exceeding 4mm in thickness to facilitate framing. It will not be possible to exhibit a print that does not meet this standard. Overly flimsy mounts should be avoided. Oversize and undersize prints will be disqualified. It is the responsibility of the club’s print secretary to check dimensions. Prints must be secured to the mount to prevent slippage. Since all prints are stacked one on top of the other, every effort should be made to eliminate any sharp projections, rough surfaces and/or adhesive substances from the back of prints. Any transparent cover over the print needs to be secured at all four edges and will not be removed during competition.

18. When packaging prints, please collate them in their respective categories and use only purpose made fibre boxes or strong cardboard boxes, not paper packaging, carrier bags, plastic portfolio cases etc. More than one print category can be placed in a box.

19. Prints not accepted into the Exhibition and all slides should be collected at the Annual Assembly. Accepted prints will not be available until the following Representatives Meeting if not retained as below. Prints touring around in the YPU ‘Folio set or sent for PAGB Inter‑Federation competitions may be delayed until the following year. The Print Secretary will endeavour to publish the list of images in the YPU ‘Folio. If an image is available, arrangements for earlier collection may be made with the Print Secretary. If a print has not been collected from two successive Representatives Meetings after becoming available and no contact has been made by the author or Club, The Print Secretary may dispose of the image as it will be deemed unwanted.

PROJECTED IMAGES

Note: Electronic entry is required as per rule 16.

Transparencies / Slides

20. Entries must be in 2” x 2” mounts. In addition, they must be:

a. Correctly spotted (i.e. single spot bottom left hand corner when viewed in the hand).
b. Labels should be of suitable quality, to prevent them becoming detached in the projector.
c. Labels and numbers not relative to the competition must be removed.
d. Masking of slides should only be done on the inside of the glass mount.
e. Information as detailed in rule 7 must be shown on each slide.
f. Very thin mounts will not be accepted as they can jam the projector. GePe mounts are recommended.
g. Slides need not be mounted in glass, but the YPU will not accept any responsibility for any damage that might occur.

21. Slides must be well packaged in adequately sized boxes suitable for safe transit and return. Slides are to be collected after the Annual Assembly unless alternative arrangements have been made with the Projected Images Secretary.

Digital

22. Images must be captured either by a digital camera or digital scanning from negative, slide or print. Images that are computer generated are not permitted.

23. Each club submission is to be on one CD/DVD per Category (plus one for entries if not entering via email,) i.e. one for Applied, one for General and one for entry forms if relevant,(which will be destroyed after the competition.) The name of the club, together with a contact name, telephone number and the category, is to be clearly written with a permanent marker on the CD/DVD. Entry details are not to be included on the image CD/DVDs.

24. Images must be in JPG and RGB format at maximum quality with sRGB colour space, and not more than 1400 pixels wide by 1050 pixels high (N.B. If in portrait format, the maximum height will be 1050 pixels.) As images will be judged at a size adjusted to 1400 x 1050 pixels, they are best entered at these dimensions. Any image which is less than the maximum allowed in either direction may be filled with a colour, design or texture to form a border. Images will be projected with a black background. Image resolution is completely irrelevant.

25. Each image should be separate on the CD/DVD, i.e. not in folders / directories and the filename should be the image number, title and the author’s initials with underscores between the words of the title and the author’s initials, e.g. 1Gazania_PAR.jpg, 2Mist_PAR.jpg, 3On_the_Beach_PAR.jpg (Images 1, 2 and 3 from Pat A. Reed.) There must be no spaces between the image number and the title and no dots other than those shown in the examples. Images from other authors are also numbered 1, 2, 3 etc. Do not number the full Club entry in sequence. The file name must be the same on the CD/DVD as on the entry form.

26. Please ensure only Natural History and Architectural / General Record images are entered in the Applied category. All other subjects are General.

27. Images previously accepted in any category in the YPU Annual Exhibition must not be used. Like or similar pictures from the same original image capture may not be used. See Rule 8.

YPU Annual Exhibition of Photography -Details of Categories and Awards Monochrome Print Applied

Will include any monochrome image which is pure Architecture and Record or Natural History. There will be 2 Individual Awards in this category: The Challenge Bowl for the best monochrome Architecture and Record print, The Challenge Plaque for the best monochrome Natural History print. Society Award: The Halifax Trophy to the club with the best set of Applied Monochrome prints.

Monochrome Print General

Will include any monochrome image which falls outside Architecture and Record or Natural History. There will be 3 Individual Awards in this category: The Challenge Cup for the best Pictorial print, The Portrait Trophy for the best Portrait, People or Figure Study print, The Harrogate Trophy for the best Sport, Action and Photojournalism print. Society Award; The Keighley Trophy to the club with the best set of General Monochrome prints.

Colour Print Applied

Will include any colour print image which is pure Architecture and Record or Natural History. There will be 2 Individual Awards in this category: The Mabel Bruce Trophy for the best colour Architectural and Record print, The G&S Neal Trophy for the best colour Natural History print. Society Award: The Crowther Cox Trophy to the club with the best set of Applied Colour Prints.

Colour Print General

Will include any image which falls outside Architecture and Record or Natural History. There will be 3 Individual Awards in this category: The Yorkshire Post Trophy for the best colour Pictorial print, The Jim Barker Trophy for the best colour Portrait, People or Figure Study print, The Rotherham Trophy for the best colour Sport, Action and Photojournalism print. Society Award: The J. E. Barker Trophy for the best set of General Colour Prints.

Projected Image Applied

Will include any image which is pure Architectural and Record or Natural History. There will be 2 Individual Awards in this category: The Crowther Cox Silver Vase for the best Architectural and Record projected image, The G. F. Kaye Trophy for the best Natural History projected image. Society Award: The Fred Atkinson Trophy to the club with the best set of Applied projected images.

Projected Image General

Will include any image which falls outside Architectural and Record or Natural History. There will be 3 Individual Awards in this category: The Bryce – Thompson Cup for the best Pictorial projected image, The Rose Bowl for the best Portrait, People or Figure Study projected image, The Peter Brook Trophy for the best Sport, Action and Photojournalism projected image. Society Award: The Jordan Trophy for the best set of General projected images.

Young Photographer

There will be 2 Individual Awards in this category: The Warren Jepson Trophy for the best print, either monochrome or colour, The W. A. Johnson Trophy for the best projected image.

NOTES FOR ENTRANTS

It is not necessary to state whether your entry is a "pictorial" or "natural history" etc. as long as it fits the Category criteria it will be assessed by the 3 judges. The silent marker system will be used to pick out the top images in each category by the judges, who will then look through those images to determine the Individual Awards.

The Exhibition (both print and projected images) will be selected by the judges on the judging day.
Some notes on photographic headings:

Architecture and General Record (to be submitted in Applied Category)

Shall be for any building or part of a building, ancient or modern, and/or allied objects or furnishings belonging to or associated with the subject. This class includes archaeological or other inanimate objects, e.g.; motor vehicles, ceramics etc.

Natural History (to be submitted in Applied Category)

Natural History photography depicts untamed animals and uncultivated plants in a natural habitat and all natural phenomena. The accurate record of the subject and natural environment is the prime factor. Evidence of man, his manipulation of his environment in any part of the picture is undesirable and should be avoided. After satisfying the above requirements every effort should be made to use the highest level of artistic skill in all nature photographs. Photographs of cultivated plants, floral arrangements, domestic and caged animals, mounted specimens, museum groups or man and his specialised environment are NOT acceptable. Entries should be accurately titled.

Portrait, People and Figure Studies (to be submitted in General Category)

Shall include figure studies, groups of a portrait nature and animal portraits.

Young Photographer (to be submitted in Young Photographer Category)

Shall be open to all members under the age of 21 years at the closing date for entries.
Those eligible may enter up to 3 prints and 3 projected images in this category. The subject matter to be open.

Young Photographers may also enter other classes, but the total entry must not exceed the maximum entry laid down in Rule 3.

Computer manipulated images

Shall be permitted in all categories (see below with reference to Applied Categories) providing that the work be based on PHOTOGRAPHIC IMAGES which must have been taken by the author. All manipulation of the image shall be carried out by the author, or under his or her immediate control. This can include cropping, masking, filtration etc, removing unwanted details and blemishes and the addition, in the General Categories, of the details of other photographic images taken by the author. They should not include Computer Clip-Art images or graphics from other sources.

Although digital imaging is allowed in the Applied categories,manipulation should be limited to contrast and colour corrections, cropping/re-sizing and cleaning up the image where necessary. This should not alter the main content of the original photograph.

Computer Generated work is not admissible.

Mono or Colour?

FIAP have agreed a new definition of monochrome work as follows:-

'A black and white work going from very dark grey (black) to very clear grey (white) is a monochrome work with the various shades of grey. A black and white work toned entirely in a single colour will remain a monochrome work able to stand in the black and white (monochrome) category; such a work can be reproduced in black and white in the catalogue of a salon under FIAP Patronage.

On the other hand, a black and white work modified by partial toning or by the addition of one colour, becomes a colour work (polychrome) to stand in the colour category; such a work requires colour reproduction in a catalogue of a salon under FIAP Patronage'

Copyright

Copyright of all entries is retained by the entrant but entry into YPU Competitions will be taken to signify their willingness to have accepted images transferred to the YPU Annual Exhibition CD for the Exhibition Assembly showing and the YPU circulating folios. Such copies will be retained by the Union.
